It is a safe and hassle free electronic method using the internet to submit your documents (any format audio/video digital files) and have them typed up and returned to you via email or download.
Refer to the “Transcription Rates” page for the guidelines regarding costs. In general the cost is affected by the type of audio/video electronic file, i.e. is it a meeting with a number of participants? Is it a court proceeding or a straight forward recording to have an agreement, letter etc. typed up? The quality of the recording will also affect the time used to type the document and therefore the cost as well. It is best to complete the Quote Request and based on your specific requirements a quote will be calculated.
Industry standard is an average of 4 hours for a 1 hour audio recording. However, this depends on the quality of the recording and whether it is a recording of a meeting, interview, court proceeding or just straightforward one voice recording.
You may request to use your own template format, which you can forward via email to VT. Alternatively, VT will transcribe the document in any requested format. For example, a “verbatim” transcription will follow strictly what is spoken by participants and will include “false starts, repetitive words and incorrect grammar (idiosyncrasies)” as well as speaker identification, if required. An “edited verbatim” transcription will not include repetitive words and false starts and will be grammatically edited to give the full context of what has been said by the speaker/s and will only use “male/female” as identification. +How do payments work?
Urgent or express documents require full payment before typing proceeds.
All other document types and those with a longer turnaround time (i.e. 4 to 10 days) as well as complex documents (i.e. where more than two voices are involved and special skills required), a deposit of 50% will be required. Final payment will be required at the end of the project

No, VT has a strict per minute rate, no matter what time of the day or week.
The time on your recording where the words or phrases are not clear will be put in square brackets.
VT will type all changes to the finished document once without any extra charge provided full payment has been made for the original document. In the event of repeated changes to the original document, a charge of 20% of the original hourly rate will be charged for each subsequent requested changes.
VT will delete all downloads within 10 days after finalisation and payment has been received. Our confidentiality clause in our quote will hopefully cover your concerns. It is your responsibility to retain all completed transcription in your own electronic filing system for your own requirements.
  • Use good quality recording equipment and test by speaking at different distances and at different volumes before using the equipment.
  • Ask people to speak clearly and towards the microphone/s.
  • Ask participants to not speak over one another.
  • Ask participants not to shuffle papers during recording and minimise background noises as much as possible, especially near the microphone/s.
  • Record at the highest resolution, if possible.
